Many fleets aim to achieve a 95%+ asset availability goal for utmost efficiency. However, the journey toward this ambitious target has been fraught with challenges—manual processes, disparate data sources, and a lack of real-time visibility have impeded progress. 

Recognizing these challenges, we’re thrilled to unveil our latest update: Vehicle Availability Tracking within Pitstop.

Consider this scenario: fleets of moderate size, ranging from 100 to 500 vehicles, grappling with the intricacies of managing vehicle availability. The conventional methods involving whiteboards and spreadsheets no longer cut it. Dispatch and operations teams found themselves juggling manual reports, facing difficulties in keeping everyone updated on real-time vehicle availability. Historical data collection was virtually non-existent, hampering the ability to analyze trends and availability patterns. Reports, if manually generated, often fell through the cracks due to time constraints.

Our response? A dynamic status functionality at the asset level, transforming the way fleets manage and track vehicle availability. This feature allows for customized status fields, each assigned a distinct color for easier visibility, and the option to set default statuses, such as ‘Running.’ The status field seamlessly integrates into the asset table, presented as a dropdown for swift updates. Whether a vehicle is in the shop for repairs or hitting the road, updating statuses is now a simple click.

Additional value lies in the overview report for vehicle availability. Fleet managers can now glance at a snapshot illustrating the distribution of vehicle statuses—90% running, 5% down, and 5% in the shop, for instance. This real-time insight is instrumental for assessing performance and analyzing month-over-month trends, offering a level of transparency that was previously elusive.

The benefits extend across the entire fleet ecosystem:

  • Transparent Communication: No more spreadsheets or manual report sharing; everyone stays in the loop.
  • Effortless Coordination: Dispatch teams receive real-time updates, eliminating the need for constant phone calls.
  • Data-Driven Decision-Making: Management gains access to crucial KPIs for informed assessments of maintenance shop performance.

Looking ahead, this feature aims to enhance Pitstop’s capabilities by contributing to the development of a more seamless end-to-end maintenance solution. Pitstop aims to automate status updates further by integrating with the work order management system. Mechanics completing work orders will trigger automatic status updates, streamlining operations. An export functionality for reports is also in the pipeline, offering users the flexibility to share or build custom reports based on historical data.

This update reflects our commitment to not only simplifying tasks but also redefining how fleets operate.
